Choose Invoice for completed work (includes payment due date and bank details). Choose Quote or Estimate for work not yet done — these suppress the payment due date and show a 30-day validity instead. The document title, number prefix and email body all update automatically.
Type any part of a customer's name, address or postcode. Customers saved in your Customer Hub will appear in the dropdown — tap one to fill in their details. For a brand new customer, just type their details manually.
If the work address differs from the billing address (e.g. a landlord's tenant property), fill in the Site Address field — it prints as a separate block on the invoice. The Job Reference appears in the invoice header and email subject, making it easy for both you and the customer to track the job.
Build your own library of common jobs and parts with set prices — tap a card to add it to the invoice in one click. No more retyping "Annual Boiler Service £80" on every job. Items are tagged as Labour, Parts, Callout or Other so you can filter the list as it grows. Saved items sync to your account so they're available on iOS, Android and web.
By default, the PDF shows each line item's individual price plus subtotal/VAT/total. Untick Show individual item prices on PDF in the Settings card to hide per-item prices — useful for quotes where you only want the customer to see the bottom-line total. The Subtotal, VAT and Total still appear at the bottom either way.
Once a saved customer is picked, any certificates logged for them in Customer Hub appear in the Attach Certificates section. Tick up to 5 to attach to the email — the customer gets the invoice and certificates in one go.
Generates the PDF and downloads it to your device. If a saved customer is picked, the PDF is also uploaded to your account so it's recoverable later.
Builds the PDF and opens it for review — without saving to your Hub or emailing the customer. Use this to check everything looks right before committing. On iPhone the PDF opens in the current tab; tap Safari's back button to return to the form with your work intact.
Opens the email preview so you can review the message and recipient before sending. Once you tap Send Now, the PDF is attached along with any selected certificates and sent to the customer's email. Emails come from invoices@boilerfix-ai.co.uk with your email set as the reply-to address — so when the customer replies, it goes straight to you.
